📌 Overview
Bulk editing enables users to modify fields across multiple transactions in just a few clicks. This is especially useful for administrative users or finance teams who need to clean up data, assign transactions to the right departments or projects, or correct bulk categorization issues.
Here’s what you need to know:
End Users can bulk edit their own transactions.
Admins can bulk edit any user’s transactions.
Fields that can be updated include location, department, project, and most other editable fields.
Approved transactions cannot be edited unless they are re-initiated by a Company Admin.
Each transaction keeps an audit trail showing who made changes and what was updated.
🧭 How to Bulk Edit Transactions
Step 1 - Find the transactions you wish to edit
Please ensure you're in the transactions tab > Click on the transactions you'd like to edit.
Step 2:
Click on the edit button at the bottom of the screen.
Step 3: Edit Fields
From here you can edit all transaction information including location, department, project, etc.
Once you have made the required changes you can update the transactions by clicking the "update" button on the bottom right
💡 Tips for Using Bulk Edit Efficiently
Use filters (e.g., by date, cardholder, department) to narrow your list before bulk editing.
Double-check your selections—changes made through bulk edit apply to all selected transactions.
Use this feature regularly to keep your transaction data clean and aligned with reporting needs.
⚠️ Important Notes
✅ Only pending or unapproved transactions can be bulk edited.
🔒 Approved transactions are locked and must be re-initiated by a Company Admin before changes can be made.
🕵️ An audit trail is maintained for each transaction, including who edited it and what changes were made.
When some transactions cannot be edited:
In some cases, some of the selected transactions could be in a state that they cannot be updated. This is usually due to the transactions being approved via the Post-Transaction approval process.
In these cases, the a pop-up will show indicating how many transctions cannot be edited and the reasons for them not being editable. If you want to continue to editing the allowed transactions, you can click on [Continue with Editables] in the pop-up.In cases of already approved transactions, the approvals would have to be re-initiated by a Company Admin in order to update their data/segments in Qashio.
