How to Update Data on the Platform (Accounting & Integrations)

Who is this for? Cardholders, Approvers, and Finance/Accounting teams using Qashio with Xero (or another ERP).

What syncs from your ERP into Qashio

  • Qashio pulls only Codes, Names, and Descriptions for: Chart of Accounts, Vendors/Suppliers, and Tax Rates.

  • These values are used to facilitate mapping inside Qashio; no other ERP data is imported automatically.

Update transaction data in Qashio

  1. Go to Transactions to see successful card transactions with date/time, user, amount, merchant, and whether a receipt/memo exists.

  2. Click a transaction to open Transaction Details:

    • Receipts & Memos: Upload directly here, or via Qashio mobile app, WhatsApp, or email.

    • Expense Category: Update if needed.

    • Accounting Segments: Finance can edit segmentation (e.g., Department, Location, Project, Division) and linked ERP fields (e.g., Tax Rate, Chart of Accounts, Supplier).

Optional: Post-transaction approval before ERP sync

  • You can enforce single- or multi-level approvals as a prerequisite for syncing to your ERP.

Readiness checklist before you sync

  • Receipt and memo (if required by your policy) are attached.

  • Expense Category is correct.

  • Supplier, Chart of Accounts, and Tax Rate are mapped.

  • Segmentation (Department/Location/Project/Division) is filled as required by your accounting policy.
