How Do Pool Accounts Work?

Manage budgets for your departments, projects, or office locations using cards grouped under specific accounts within the main company account

What are Pool Accounts?

Think of Pool Accounts as a dedicated budget account you can create within your main Qashio account. You can then move funds from the main account into these specific pool accounts.

You can create a pool for anything, like "Marketing Spends", "Office Expenses", or a specific project.

The key benefit is that any card linked to a pool can use only the funds available in that specific pool account. This makes it the ideal way to enforce budgets and make overspending impossible.

Setting Up Your First Pool Account

The entire process is quick and easy. Only users with the company admin roles can create a pool account. If you'd like to create one for your account, ask your company admin to help you create it.

Here’s how you can get started:

Step 1: Create a Pool Account

  1. Click the create pool button on the home page or from the Quick Access button from any other page as shown in the image below.

  2. Then, fill in the pool account details in the pop-up that opens.

  3. Give your pool a clear name (e.g., "Digital Ad Spend," "PRO expenses").

  4. Add the relevant funds you need. This will move the money from your main company balance into the dedicated pool.

  5. Choose one or multiple pool account managers. Pool account managers can be any user. They have access to view all pool account activities, request funds and manage the linked cards.

  6. Click Submit to create the pool.

Step 2: Issue Cards Under the Pool

Once your pool is created and funded, you can issue cards that draw from its balance.

  1. Click on the Create Card button.

  2. Fill in the required card details and click Create Card.

    You can control if the cardholder (who is not a Company Admin or Pool Account Manager) can see the pool balance or not. Use the "User can view pool balance" toggle to control this. You can change the view pool balance setting even after the card is created.

That’s it! Any card created this way is now permanently linked to that pool's specific budget. The cards will have the same controls and settings as regular cards.

Pro-Tip: Pool Cards vs. Reloadable Cards

Wondering when to use a Pool Account? It's simple:

  • Pool Account Card: Use this when you want multiple cards to share one single budget (e.g., a whole department sharing a marketing budget).

  • Reloadable Card: Use this when you want to assign a budget to one single card.

You can use both card types at the same time in your account.
